How Maa Traders handles information when you visit the ClinicPro+ website, contact our team or use our clinic management software.

Maa Traders · Last updated 28 October 2026

1. Who handles your information

ClinicPro+ is operated by Maa Traders, 811 PS Qube, Near City Centre II, New Town, Action Area II, Kolkata - 700156, West Bengal, India. We handle website enquiries, account administration, billing and support information to run the service.

When a clinic enters patient or staff records, the clinic determines the purpose of that use. We process those records to provide the software on the clinic’s behalf. Patients should first contact their treating clinic about medical records or corrections.

2. Information collected

  • Account and enquiry details: name, email, phone number, clinic or business details, address, optional GST details, demo preferences and support messages.
  • Clinic data: records uploaded or entered by authorized users, such as appointments, patient details, prescriptions, invoices and inventory.
  • Payment information: order and transaction references, payment status and subscription history. Payment credentials are collected by the payment provider; our checkout does not collect full card details or banking passwords.
  • Technical information: browser and device information, usage events, logs and network information needed for service operation, security and analytics where enabled.
  • Optional feature inputs: recordings, text, images or documents you choose to submit for voice, AI or OCR features.

3. How information is used

We use information to create and manage accounts, deliver selected features, arrange demos, process payments, respond to support requests, maintain the service, detect misuse and meet legal obligations.

Submit only information necessary for your intended task. Do not include patient records in general website chat, demo forms or sales enquiries.

4. Sharing and third-party services

We do not sell personal data. Information may be shared with providers needed to deliver the features you use, including hosting, payments (such as Razorpay), messaging, customer chat, analytics and AI or OCR processing. These providers receive information needed for their function and may operate in different locations.

When you use WhatsApp, an external scheduling service or another linked service, that provider also handles information under its own privacy terms. We may disclose information where legally required or necessary to address fraud, security incidents or legal claims.

5. Cookies, local storage and analytics

The website uses browser storage to maintain sign-in state. Optional integrations, including the support widget and analytics when configured, may use cookies or similar technologies and receive device or usage information.

You can manage cookies and storage through browser settings. Blocking essential storage may prevent sign-in or other features from working. Contact us if you have questions about a specific integration.

6. Security

We use reasonable safeguards to protect information and limit access to authorized purposes. No online service can guarantee absolute security. Protect your password, review staff access and promptly report suspected misuse to support.

Contact us for information about security arrangements relevant to your deployment or agreement. This policy does not represent a certification of compliance with a particular healthcare or security standard.

7. Retention and account closure

We retain information as needed to provide the service and meet billing, recordkeeping, security and legal obligations. Retention depends on the record type and applicable requirements. Account closure does not necessarily result in immediate deletion of every record or backup.

Before your subscription ends, export records available through your plan or ask support for assistance. Clinics remain responsible for preserving medical records for the period required of them. We assess deletion or anonymization requests subject to legal obligations and legitimate retention needs.

8. Your choices and privacy requests

You may contact us to request access to or correction of your information, account closure, deletion, or withdrawal of consent where applicable. Withdrawal may affect features that depend on the information. We may verify your identity and authority before acting on a request.

For patient information held by a clinic, contact that clinic first; we can assist the authorized clinic with requests involving the software. The service is intended for authorized adult business users. Any information about a child entered by a clinic must be handled with the permissions and safeguards required by applicable law.

9. Questions, complaints and updates

For privacy questions or complaints, email support@clinicpro.care with the subject “Privacy request” and sufficient account details to locate your request. Do not send passwords, OTPs or unnecessary medical information.

You can also reach Maa Traders through our Contact Us page. This policy may be updated as the service changes; the latest revision date appears above. Material updates will be communicated where appropriate.
